A Guide to Running Client Review Meetings Clients Actually Value

How to structure a periodic client review meeting so it feels like genuine advisory time to the client, rather than a status update they could have read in an email.

Guide 12 Jun 2025 6 min read

A client review meeting that spends its first twenty minutes reading numbers the client already has in front of them has already lost the room. The meetings clients describe as genuinely useful are structured the other way around: the numbers are assumed read in advance, and the time is spent on what they mean.

Send the numbers before the meeting, not during it

If a client is seeing their management accounts for the first time in the room, the meeting becomes a reading exercise rather than a conversation. Sending the figures a few days ahead, with a short note on anything that needs explaining, means the meeting itself can start from questions rather than from a walkthrough.

Open with the one thing that actually matters this quarter

Every client has one issue that matters more than the rest this period: a cashflow squeeze, a hiring decision, a pricing change under consideration. Leading with that, rather than working chronologically through a standard agenda, signals that the meeting is built around their situation rather than a template applied to every client the same way.

Leave with one or two decisions, not a list of observations

A review meeting that ends with a summary of what was discussed has not necessarily moved anything forward. Aim to leave with a small number of concrete next steps, each with an owner and a rough timeframe, so the client walks out with something to act on rather than a clearer picture of a problem they still have to solve alone.

Closing

The meetings that earn a client's ongoing advisory fee are the ones that feel like time spent on their specific situation, not a recitation of numbers they could have read themselves. Send the figures ahead, lead with what matters most right now, and close with decisions rather than observations.
