A growing firm eventually has to answer a question that a very small practice can avoid indefinitely: who inside the firm should actually be able to see which client's data. Role-based access is built to answer that without requiring someone to manually manage individual permissions for every new file and every new hire.
Access follows role, not individual configuration
Rather than setting permissions client by client, access is defined by the role a team member holds: a junior preparer sees what their assigned jobs require, a partner sees across the firm, and a new hire inherits the right level of access the moment their role is set, without anyone having to configure it from scratch.
Sensitive client data is compartmentalised by default
A client with a particularly sensitive engagement can be restricted to a named subset of the team without affecting how anyone else's access works elsewhere in the firm. That containment happens by assigning the right role or restriction to the specific engagement, not by rebuilding a permissions structure around one exception.
Leavers lose access the moment their role changes
When someone leaves the firm or changes role, their access changes with it immediately, rather than depending on someone remembering to manually revoke a long list of individually granted permissions. That single point of control matters most exactly when it is least convenient to remember: during a departure that already has enough else going on.
