Uploading and organising files and folders

Company Documents is where your firm keeps internal-only files, templates, policies, and working documents that are restricted to your own staff and never shown to clients. You'll find it in the left-hand navigation under the Manage section, labelled Company Docs; opening it takes you to the Company Documents page (shown as "Workspace / Company Documents" in the breadcrumb at the top of the page).

Uploading files

  1. Open Company Documents and navigate to the folder you want to upload into (or stay at Root).
  2. Click Upload Internal Doc.
  3. In the dropdown that opens, optionally set an Expiry Date (Optional) using the date picker, useful for a licence, certificate, or policy that needs renewing. This date applies to the whole batch you're about to upload, not to each file individually.
  4. Choose Upload Files to select one or more individual files, or Upload Folder to upload an entire folder from your computer while keeping its internal structure intact. Accupe automatically creates matching folder rows for any subfolders that don't already exist.
  5. Wait for the upload to finish. The button label updates to show progress, for example "Uploading 2/5...".

You can also drag files straight from your desktop and drop them anywhere on the page. A "Drop files to upload instantly" overlay appears while dragging, and the files land in whichever folder you're currently viewing.

Once an upload completes you'll see a confirmation toast: "File uploaded successfully" for a single file, "Successfully uploaded n items" for multiple files, or "Partially uploaded x of y items" if some failed. Uploads run up to five files at a time in the background, and any single file that takes longer than 90 seconds to upload will time out and report an error rather than hang indefinitely.

If a file with the same name already exists in that folder, Accupe doesn't overwrite it. It keeps both and appends a version tag such as "(v1)" or "(v2)" to the newer file's display name, so you can tell them apart.

Creating and navigating folders

  1. Click New Folder.
  2. Enter a Folder Name, for example "Finance", "HR", or "Templates".
  3. Click Create Folder.

The modal tells you exactly where the new folder will be created ("Creating in Root" or "Creating in" your current folder), so check the breadcrumb before confirming if you've navigated deep into a folder tree.

Use the breadcrumb trail at the top of the page to move between folders. Click Root to jump back to the top level, or click any segment of the path to jump straight to that folder. Folders always appear above files in the list, regardless of which column you've sorted by.

Finding and viewing files

  • The search box only searches file names inside the folder you're currently viewing. It won't search subfolders or your whole document library.
  • Switch between List view and Grid view using the icon buttons above the file list.
  • Click the File, Size, or Uploaded column headers to sort the current folder.

Deleting folders and files

Staff with admin or manager permissions can delete a single document or folder using the delete icon on its row; this opens a "Delete Document?" confirmation dialog naming the file before anything is removed. Any staff member, not just admins or managers, can also select multiple items using the checkboxes and delete them together from the floating selection bar, after confirming in your browser's own pop-up dialog rather than an in-app one.

Deleting a folder only removes the folder itself, not the files inside it, so move or delete a folder's contents individually before removing the folder, otherwise those files will no longer be reachable by browsing.

Note: The Expiry Date you set at upload is a visual reminder only. Once it passes, the date turns red with a warning icon in the list, but nothing is blocked or restricted because of it, and there's currently no way to edit an expiry date after the file has been uploaded.
