Following a proposal: timeline, reminders and what you can do next

Updated 2 October 20266 min read

Following a proposal

Open a proposal and choose Timeline. It is a newest-first feed of what happened: when each person opened it, which step they reached, emails delivered or bounced, reminders sent and scheduled, approvals, and questions. A header for each person shows their current step, their status, their identity state, when they last did anything, how many reminders have gone against the cap, the next reminder and the state of their email.

Answering questions

A client question opens a thread. Your reply is shown in the Room, and the email they get only says there is a reply with a link, so a misdirected email never leaks the message.

What you can do to a proposal

The actions menu shows each action when its permission and the proposal's status allow it.

ActionWhat it does
NudgeSends the step-aware reminder now to one person. One per person per day and three per proposal. It ignores quiet hours, and warns you outside 08:00 to 19:00 for the recipient
ExtendAdds 7, 14 or 30 days. An expired proposal comes back to sent or viewed. Total validity is at most 365 days from the first send
WithdrawCloses it. Any unfinished signing is cancelled and unsigned letters are voided. Letters already executed are left alone
Revise as version 2Makes an editable copy. The same link opens version 2 with an Updated banner once you send it, and version 1 is superseded only then
DuplicateStarts a new proposal with the same lines
Mark lostCloses it with a reason: price, scope, timing, competitor, no response, not a fit or other
Delete draftOnly for a draft with no history

Expiry is never lost

When the expiry date passes, the proposal becomes expired, and you get a bell that opens the timeline where Extend and Close as lost are one click each. Accupe never marks a proposal lost by itself. Only a person does, with a reason.

Reminders

Reminders are step-aware: someone who never opened it gets a different email from someone who stopped at signing. They are capped per day and per proposal, respect your quiet hours and the working week and holidays of your region, and stop when a client acts that day. Reminders never go to someone who has finished, stopped reminders or whose email bounced. Set the timing, quiet hours, cap (between 3 and 8 per person) and default expiry in Settings, Engagements, Reminders, which also previews the dates for a sample proposal.

Bounces and complaints

Accupe listens for delivery results from its email provider. A permanent bounce stops reminders to that person and tells you to fix the address. A complaint stops them for good. Accupe does not use tracking pixels or click tracking in these emails.

Pricing viewed, then silence

If someone looked at the pricing and then went quiet, Accupe creates a call task for the owner, due the next day, and holds back the next automatic reminder.

On Mondays, owners, admins and managers who have it switched on get a short digest email of proposals stuck at a step, approvals waiting more than a day, engagements awaiting countersign and renewals coming up. Switch it on or off in Settings, Engagements, Notifications.
