Managing sent signature requests
Once a request has been sent, you manage it from the "..." menu on its row in the eSignatures table, plus dedicated tools for reminders, templates, and sending several requests at once.
The row actions menu
Reminders
A "Remind" button also appears directly in the table for any in-flight request. On a multi-signer request it reminds whoever is currently due to sign, not the whole list.
Beyond manual reminders, Accupe automatically chases unsigned requests up to three times on a roughly three-day cadence. In a sequential chain the automatic reminders only ever go to signers whose turn it actually is - nobody is invited early. Accupe also automatically expires any request past its "Expires" date; when that happens the outstanding signers' links stop working, and your firm receives an email that the request expired unsigned.
Signing in person
"Sign in person" is useful when a client is physically with you. It opens the signing page in a new browser tab with identity verification already satisfied, so you can hand your screen straight to them at the signing step. This is recorded distinctly in the audit trail as an in-person signing session, witnessed by the staff member who started it.
Voiding a request
Select "Void Request" to withdraw an unsigned request. The dialog warns that the client's link will be invalidated and offers an optional reason box; the reason is stored, shown on the request, and included in the withdrawal email each outstanding signer receives. Voiding also kills any live signing sessions immediately, so a signer who already had the document open cannot continue.
Only admins and managers can void a request; plain staff accounts will be blocked. You also can't void a request that's already been signed.
Templates
The "Templates" button at the top of the page lists every saved template with its document name, field count and signer roles. From there you can delete a template (this also removes its stored PDF) or select "Use" to send it. Templates are created from an existing request via "Save as template".
Bulk sending from a template
Use "Bulk send" to send the same document and field layout to several recipients in one go:
- Choose the template from the dropdown.
- List recipients one per line, in the format: email address, comma, name.
- Optionally set an expiry date.
- Select "Send to all".
You'll get a confirmation showing how many sends succeeded and how many failed. A recipient whose invitation email cannot be delivered is reported as failed, not quietly counted as sent.
Audit trail and certificates
"Details & audit trail" is available on every request, whatever its status, and shows each recipient's own state alongside the timeline of every recorded event: created, sent to each signer, viewed, identity verified, signed (with document hashes), declined with reason, reminders, in-person sessions, voids and expiries, each with a timestamp and, where available, the actor's IP address and browser.
When a request completes, the signed document and Certificate of Completion are automatically emailed to every signer, every CC recipient, and your firm. "Download certificate" additionally re-issues the certificate with your firm's own branding and saves a copy to your Reports list. Certificates are timestamped by a third-party time-stamp authority (FreeTSA, via the RFC 3161 protocol) at signing time, falling back to Accupe's server clock if the authority is briefly unreachable - the certificate always discloses which source attested the time, and the document's SHA-256 hash remains the underlying tamper-evident proof.
