Connecting Xero

Where to connect

Go to Settings, then Integrations. You need to be a firm admin, both to view this page and to start a Xero connection. You'll find a card headed "Xero" with the description "Pull Xero contacts and invoices into Accupe, and push completed-job invoices into Xero as drafts. Tokens refresh automatically." This card is available to both UK and UAE firms.

Connecting your account

  1. Click "Connect Xero". The button briefly shows "Redirecting..." while Accupe prepares the connection.
  2. You're taken to Xero's own sign-in and consent screen to approve access.
  3. Xero sends you back to Accupe. On success, the card shows a green "Connected to {your organisation name}" badge.

Accupe only connects to the first Xero organisation you approve during that consent flow. If you manage more than one Xero organisation and need a different one connected, disconnect and reconnect while approving the correct one.

Syncing data

Once connected, the card shows your last sync date (or "never"), how many contacts have been imported, and how many invoices have been pushed. If a sync run failed, you'll see an inline "Last sync error" banner with the underlying message.

Syncing is on demand only, there's currently no automatic background sync running for Xero, so use the buttons below on whatever cadence suits your firm:

After a manual sync, a toast confirms the result, for example "Synced: 8 contacts in, 3 pushed, 5 pulled".

How contact matching works

When Accupe pulls a Xero contact, it tries to match it to an existing client in this order: an exact, case-insensitive email match, then an exact business name match, then a looser partial name match. Matches found only through that last, looser method are flagged in your compliance audit log for manual review, since a partial name match can occasionally link the wrong client. If nothing matches, Accupe creates a brand-new client with its source set to Xero. Running a pull again later is safe, it won't create duplicate clients or duplicate links.

How invoice pushing works

Pushing only sends jobs that meet both conditions: the job's status is exactly Complete, and it has a fee greater than zero. Invoices are created in Xero as drafts only, never sent or approved automatically, so you keep full control before anything reaches a client. A job's client must already be linked to a Xero contact through a prior pull before that job can be pushed, if it isn't linked yet, the job is counted as skipped rather than pushed. Invoice currency is set automatically: AED for UAE firms, GBP for UK firms.

Disconnecting

Click "Disconnect" on the Xero card. You'll see a confirmation titled "Disconnect from Xero?" with the description: "You can reconnect anytime. Any data already synced into Accupe stays put - this just severs the live link." Confirming disconnects the integration, clients, invoices, and history already synced into Accupe are not removed.

Tip: If a push reports jobs as skipped, it's almost always because those jobs' clients haven't been through a "Pull contacts" sync yet. Pull first, confirm the client matched correctly, then push.
