Creating and managing jobs on the Smart Board
You can add jobs to the Smart Board two ways: a full Create New Job form for when you want to capture everything up front, or a quick inline add for when you just need a title on the board fast. You can also edit, delete and move jobs once they exist.
Creating a job with the New Job modal
- Click New Job (top right, next to the Plus icon), or press N on your keyboard.
- Fill in the fields:
- Title, a text field, required.
- Client, a dropdown of your firm's clients (shows "No clients available" if you haven't added any yet).
- Category, one of General, Strategy, Operations, Reports, Finance, Compliance, Tax or Onboarding. This defaults to General if you're on the Jobs tab, Strategy if you're on the Strategy Plans tab, or Onboarding if you're on the Onboarding tab, but you can change it.
- Manager Delegation, who the job is assigned to (defaults to Unassigned).
- Due Date, using the date picker.
- Fee (£) or Fee (AED), depending on your firm's region.
- Click Create Job. The button reads "Creating..." while it saves.
Every job created this way lands in the Not Started column, whatever category or due date you give it. If you don't pick a client, the job is recorded as internal; if you leave the fee blank, it's saved as zero.
Quick-adding a job straight into a column
For a faster, lighter-weight add, use the column itself:
- On an empty column, click the dashed Add first job button. On a column that already has cards, click the smaller Add link at the bottom of the list.
- Type a title into the inline field (placeholder: "Job title - Enter to add, Esc to cancel").
- Press Enter to create it, or Escape (or click elsewhere) to cancel.
The job is created directly into that column's status, with the client set as internal, category set to General, and fee set to zero, there's no chance to set an assignee or due date at this point. Open the job afterwards if you need to fill those in.
Editing a job
Double-click a card, or select it and press Enter, to open Edit Job. It has the same fields as the New Job modal, plus a Status dropdown listing the four columns, letting you move a job between stages without dragging it. Click Save Changes (shows "Saving..." while in flight) to keep your edits, or Cancel to discard them.
Deleting a job
Inside Edit Job, click Delete Job (bottom left, in red). This opens a confirmation dialog: "Are you sure you want to delete [job title]? This action cannot be undone." Click Delete to confirm or Cancel to back out. Confirming also closes the Edit Job modal if that same job was open in it.
Moving jobs by dragging
Drag any card onto a different column to change its status. The move is applied straight away; dropping a card back into the column it came from does nothing. Moving a card also triggers any automations your firm has set up to run when a job's status changes.
The board supports more than just mouse dragging:
- On a touchscreen, press and hold a card to pick it up.
- From the keyboard, focus a card with Tab, press Space to pick it up, use the arrow keys to move it between columns, and press Enter to drop it.
If a move can't be saved, for example because you don't have permission to change that job, you'll see an error and the card reverts to its previous column.
Note: Quick add always creates jobs with category General, even when you use it from the Strategy Plans or Onboarding tab. Since those tabs only show jobs categorised as Strategy/Operations or Onboarding, a job you quick-add from one of those tabs won't appear there until you edit it and set the right category. Use the full New Job modal if you need the category set correctly from the start.
