Finding your way around the Smart Board
The Smart Board gives you a Kanban-style view of your firm's workload, so you can see every job's stage at a glance instead of scrolling through a list. Open it from Smart Board in your dashboard navigation.
At the top of the page, under the Smart Board heading, you'll see a hint: "Drag cards between columns · press / to search · N to add". This article covers the tabs, columns and filters that make up the board; drag-and-drop and the job modals are covered in the next article, and task badges and keyboard shortcuts in the one after that.
Tabs
The board is split into three tabs, and each one shows a live count of the jobs it contains.
Note: "Jobs" only means every job in the firm if you're a manager or admin. Team members who aren't managers or admins see a scoped-down board: on every tab, only jobs assigned to them appear, not the whole firm's workload.
Switching tabs is instant. It doesn't reload anything from the server, it just re-filters the jobs already loaded, so if you move or edit a job while on one tab, the change is reflected immediately if you switch to another tab that includes it.
Columns
Within each tab, jobs are grouped into four columns, always shown in this order: Not Started, In Progress, In Review, Complete. Each column header shows a coloured status dot and a live count of the cards inside it. A job created through the full New Job modal always starts in Not Started; a job added with a column's quick-add link instead lands directly in that column, whatever status it represents (both ways of creating a job are covered in the next article).
Cards within a column are sorted automatically: overdue jobs appear first, then jobs sorted by soonest due date. Jobs with no due date at all sort to the bottom of the column, with the most recently created ones listed first among those.
Note: The four columns are fixed. You can't rename, add, remove or reorder them, and there's no separate archive column, only Not Started, In Progress, In Review and Complete.
Stat tiles
Five stat tiles run along the top of the board, above the tabs.
All five tiles are calculated from what's currently visible, so they change as you switch tabs, search, or apply a filter. They are not firm-wide totals.
Searching and filtering
Above the columns, on the right, you'll find a search box and two filter chips:
- Search jobs or clients… matches against the job title and the client name.
- All categories opens a menu of the eight category values (General, Strategy, Operations, Reports, Finance, Compliance, Tax, Onboarding), plus a "- Any -" option to clear the filter.
- All assignees opens a menu of your team members, also with a "- Any -" option to clear it.
Both filter chips are single-select, so you can filter by one category or one assignee at a time, not several at once.
Reading a card
Each card shows the job title, a coloured category tag in the top-right corner, the client's name (unless the job has no client, in which case it's marked internally and no client chip is shown), the fee if one has been set, a due-date pill, and an avatar with the assignee's initials. The due-date pill changes colour depending on how urgent the job is, for example it turns red when overdue and shows how many days overdue it is. A small amber alert icon appears on cards that haven't been touched in 14 or more days and aren't yet Complete, hover over it to see "Untouched 14+ days". If a job already has tasks logged against it, a small progress badge also appears bottom-right of the card, this is covered in the task badges article.
Tip: Hover over any card to see its tooltip: "Double-click or Enter to edit · drag (or Space + arrows) to move". That's a quick reminder that the board is fully usable from the keyboard, not just the mouse.
