Changing a team member's role
Only Admins and the firm owner can change an active team member's role or remove them. Managers can see everyone on the roster and can send invites, but they can't promote, demote, or remove someone who's already active on the team, that action is blocked in the interface and rejected by the server even if attempted directly.
Who can do what
Changing an active member's role
- Go to Team Directory in the sidebar.
- Find the member's row and click the "..." (Member actions) button.
- Choose Manage Staff.
- In the Manage Staff window, pick one of the three role cards:
- Standard Staff: can view assigned tasks and update client records.
- Firm Manager: can invite staff and assign delegations.
- Administrator: full access to firm settings and billing.
- Check the Current Delegations panel, it lists up to five of that person's current active tasks, before you confirm.
- Click Save Changes.
Removing someone instead
If you need to take their access away entirely rather than change their level, open the same "..." menu and choose Remove User. Confirm in the Remove User dialog. This is immediate and cannot be undone, they lose portal access instantly, so only use it when you actually want them gone, use Manage Staff if you just want to adjust what they can see.
Pending invites work differently
Someone who hasn't accepted their invite yet shows an "Invite Sent" badge instead of Active or Awaiting Setup, and their "..." menu only offers Resend Invite or Revoke Invite, there's no role change option for a pending invite. If you invited them at the wrong access level, revoke it and send a new invite at the correct level instead.
Tip: Before you downgrade someone from Manager or Admin, check the Current Delegations panel in the Manage Staff window first. If they still have active tasks assigned, reassign those before you save, so nothing gets left behind on an account with reduced visibility.
