The Team Heatmap
The Team Heatmap gives Managers, Admins, and the firm owner a quick view of who's stretched thin and who has room for more work, based on logged hours rather than task counts.
Who can see it
Team Heatmap is visible to Managers, Admins, and the owner only. Staff have no Team Heatmap link in their sidebar, and if they try to open the page directly, they see a plain "Access Restricted" message instead of the page content.
How capacity is calculated
Accupe totals each person's logged hours in Timesheets from Monday at the start of the week through to now, and compares that against a 35-hour weekly target. The result is shown as a percentage (capped at 140 percent, even if someone has logged well beyond it).
Reading the colours
What each card shows
Every team member gets a card with their avatar and initials, name, role, hours logged this week out of the 35-hour target, their current active task count (shown for context, it doesn't affect the colour), their capacity percentage, and a Timesheet button that takes you to the Timesheets page.
At the bottom of the page, a Smart Task Routing panel highlights where new work might best be assigned based on the capacity shown above.
Who appears on the roster
Everyone with an internal role, the firm owner, Admins, Managers, and Staff, appears on the Heatmap. Clients never appear here.
If your team list is empty
If you haven't added anyone yet, the page shows "No team members yet" with an Invite your team button that takes you straight to Settings > Team & Roles.
Note: Capacity here is based purely on logged timesheets. If someone forgets to log their hours, the Heatmap will show them as under capacity even if they're genuinely busy, so it's only as accurate as your team's timesheet habits.
