Record-keeping and audit trail

Everything you do in Compliance & KYC, filing verification evidence, disposing of a historical AML hit, sending or reviewing a KYC request, is written to Accupe's compliance audit log automatically. You don't need to remember to log anything yourself; it happens as a side effect of using the feature.

What gets logged automatically

  • Every AML screening the firm ran while screening was part of the product was recorded with action type aml_screening, along with the result. Those entries are retained; no new ones are created, because screening has been withdrawn.
  • When a KYC image upload has its EXIF metadata (including GPS location data) stripped before storage, that's logged as exif_stripped, so there's a record that the original file was sanitised for data-minimisation reasons.
  • When a staff member opens a KYC verification to review it, that view is logged once per time the review panel is opened, not on every render, so the log reflects genuine review activity rather than noise.
  • AML dispositions are logged the same way, as aml_disposition_recorded for the first reviewer and aml_disposition_confirmed for a second reviewer's sign-off, tied to the client record along with who made the decision and when.

KYC approvals and rejections aren't written to this same compliance audit log stream; instead the decision is stamped directly onto the verification's own record (who reviewed it and when), which the KYC Review Queue and Compliance Radar both read from.

Keeping statuses in sync

Any time you disposition an AML hit, Accupe recalculates that client's overall compliance status the same way Compliance Radar does, and re-saves it to the client record. Approving a KYC Smart Capture verification also writes the client's status straight to green. This is what keeps the colour you see on the Contacts list lined up with what Compliance Radar shows for the same client most of the time. A rejected Smart Capture verification is the exception: it's reflected on the live Radar straight away but only reaches the stored Contacts badge at the next disposition or approval. Because screenings can no longer be run, dispositions and KYC approvals are now the only two events that refresh the stored badge.

Producing an evidence pack for a regulator

If a client's activity needs to be reported to a regulator, a Suspicious Activity Report (SAR) in the UK via the National Crime Agency, or a Suspicious Transaction Report (STR) in the UAE via goAML, Accupe can assemble the supporting evidence into a submission pack rather than you gathering it by hand.

Each pack is built from a written reason or trigger narrative of at least 30 characters, the same minimum length as an AML disposition reason, and freezes a snapshot at that moment of the client's KYC verifications, AML screenings, compliance audit log entries, and documents (with time-limited signed links). It starts in draft status so it can be reviewed before use. Accupe defaults the regulator and report type by your firm's region, NCA and SAR in the UK, goAML and STR in the UAE, though AIF and OTHER report types are also available. Requesting or reviewing a pack needs the same permission level as viewing the audit log (admin or manager by default).

Once a pack exists for a client, download it as a PDF from Reports:

  1. Go to Reports.
  2. From the report type dropdown, choose SAR / STR pack (shown with the hint "Regulator-shared submission pack. Pins the filing snapshot.").
  3. Select the pack you need from the list, packs are labelled by regulator, report type, and status, for example "NCA · SAR · draft". If none exist yet for this client, you'll see "No SAR packs found yet. Create one first."
  4. Generate to produce the downloadable PDF.
Note: Accupe assembles the evidence pack but does not submit it to the NCA or UAE FIU on your behalf. Your MLRO still files the report through their own credentials on the regulator's own portal, this feature only saves you the work of pulling the supporting evidence together first. If Reports shows no SAR / STR packs yet for a client you need to report, contact Accupe support to have one generated.
