Creating and managing jobs
A job is the top-level piece of billable work your firm does for a client - a VAT return, an audit, a payroll run, anything with a fee attached. Every job has a status, an assignee, a due date, and optionally a recurrence pattern and a budgeted number of hours. Tasks, time entries, and profitability figures all hang off jobs, so keeping this list accurate is worth the effort.
Where to find your jobs
Go to Practice > All Jobs in the sidebar (route: /dashboard/jobs). The page header reads "All Jobs".
Creating a job
- Click New Job, or press N on your keyboard while the All Jobs page is focused (shortcuts are ignored while you're typing in a search box or field).
- Fill in the fields in the "Create New Job" modal:
- Title (required) - e.g. "Annual Accounts".
- Client - pick from your client list.
- Status - one of the five job statuses (see below).
- Category - General, Strategy, Operations, Reports, Finance, Compliance, Tax, or Onboarding.
- Staff Delegation / Manager Delegation - this field's label changes automatically depending on who you assign: if the person you pick has a management-level role, the label switches to "Manager Delegation"; otherwise it reads "Staff Delegation". With nobody selected it defaults to "Staff Delegation".
- Due Date - pick a date.
- Fee - the label shows the currency your firm operates in ("Fee (AED)" for UAE firms, "Fee (£)" for UK firms).
- Budgeted hours - a number, in half-hour steps.
- Recurrence - see the recurring jobs section below.
- Save the job.
Job statuses
Jobs use exactly five statuses:
You can change a job's status directly from the All Jobs table without opening any modal - just use the coloured dropdown in the Status column. Note that the quick filter pills above the table, and the "Move to:" buttons in the bulk-action bar, only offer the first four statuses (Not Started, In Progress, In Review, Complete). Cancelled is still available from the per-row dropdown, just not as a quick filter or bulk-move target.
Editing a job
You can edit a job two ways:
- Inline, straight from the table: the Status dropdown and the Partner dropdown (this column edits the job's assignee - there's no separate "partner" field, it's just how the column is labelled) both save immediately when you change them.
- In the edit modal: double-click anywhere on a job's row other than the title to open "Edit Job". This wider view also shows a "Recent activity" panel down the right-hand side with the job's last 12 activity entries.
Clicking a job's title (rather than double-clicking the row) takes you to that job's detail page instead of opening the edit modal.
Deadlines and due dates
The Due column shows a pill that adapts to how close the deadline is:
- "{N}d overdue" once the due date has passed
- "Today" if it's due today
- "in {N}d" for anything due within the next 7 days
- the full date once the due date is more than 7 days out
Jobs marked Complete or Cancelled just show a plain date instead of a pill.
Recurring jobs
Set the Recurrence field to have Accupe automatically spawn a fresh job on a schedule:
If you choose a recurrence but haven't set a due date yet, the modal warns you to set one - it becomes the first occurrence. Once both are set, Accupe tells you a fresh child job will appear each cycle starting from that due date, and confirms the template job is never assigned to itself. New occurrences are generated automatically on schedule; you don't need to create them by hand.
Filtering and saved views
A row of saved-view chips above the table lets you jump to a common slice of your jobs:
The five stat tiles above the table (Active, Overdue, Due this week, Completed, Total fee) recalculate based on whatever combination of search, saved view, and status filter is currently applied, so they always reflect what you're actually looking at.
Bulk actions
Tick the checkbox on one or more rows (or use the header checkbox to select everything) to reveal a bulk-action bar. From there you can:
- Move the selected jobs to Not Started, In Progress, In Review, or Complete
- Delete the selected jobs (admins and managers only, with a confirmation prompt)
- Clear your selection
Deleting a job
Open the job in the edit modal and click the red Delete button (Trash icon) in the bottom-left. You'll be asked to confirm: "Are you sure you want to delete {title}? This action cannot be undone." Admins and managers can also delete jobs in bulk from the All Jobs table, as described above.
The job detail page
Clicking a job's title opens its detail page - a read-only hub for that engagement. It shows:
- The job title, a status dot, and the status text
- A facts card: Client (links to the client's contact page), Assignee, Fee, Due date, Category, and Created date
- A Tasks card listing every task linked to the job, with a link to manage them from All Tasks
- "Open in board" and "All jobs" buttons at the top
Status and assignee changes still need to be made from the All Jobs table or the edit modal - the detail page is for reference, not editing.
Keyboard shortcuts
On the All Jobs page (and not while you're typing into a field):
Tip: Double-click anywhere on a job's row (other than its title) to jump straight into the Edit Job modal - you don't need to hunt for a pencil icon.
