Understanding the Profitability report
The Profitability report answers the question every partner actually cares about: after paying your team's time, was this engagement worth taking on? It's available to admins and managers.
Where to find it
Go to Practice > Profitability in the sidebar (route: /dashboard/jobs/profitability; visible to admins and managers only). The in-page heading reads "Per-engagement profitability", with the subtitle: "Margin = fee minus (logged hours times internal staff cost). The partners' real 'is this engagement worth it' view, not the gross-fee one."
How margin is calculated
For each job, Accupe works out:
margin = fee minus (total logged hours on that job multiplied by staff hourly cost)
Only timesheet entries linked to a job count towards that job's hours and cost - time logged against Internal Admin, or anything else without a job attached, is excluded from every job's totals.
To work out the hourly cost of each logged hour, Accupe checks, in order:
- The individual staff member's own hourly cost rate (set on their profile)
- Your firm's default hourly cost rate (set on your company settings), if the staffer doesn't have one
- Zero, if neither is set - which flags to you that cost data is missing rather than silently guessing
If no cost rates are set
If nobody at your firm has an hourly cost rate, and there's no firm-wide default either, you'll see a warning banner headed "No staff cost rates set yet". Underneath, it explains that the margins on the page treat logged time as free, and suggests setting a per-staff hourly cost rate on each profile (or a firm-wide default rate on the company), with a link straight to Open team settings so you can add rates. Until you do, every margin figure on this page effectively assumes your team's time cost nothing, which will overstate every job's profitability.
Reading the report
Four stat cards summarise your whole firm at the top:
Below that, a table lists every job with columns Job, Client, Fee, Hours, Cost, Margin, and % - click any column header except Client to sort by it (Client is a plain label, not sortable; the table opens sorted by Margin, highest first). Hours are shown to one decimal place with an "h" suffix (e.g. 12.5h). Each row's margin percentage uses the same green/amber/red thresholds as the top card, except where a job's fee is zero - in that case a percentage can't be calculated, so you'll just see a dash instead of a coloured chip.
If you have no jobs yet
You'll see "No jobs yet" with a prompt to create a job with a fee and log time against it, and a button to open Smart Board.
Note: If you see a "No staff cost rates set yet" warning at the top of the report, none of your team have an hourly cost set, so Accupe is treating all logged time as free. Add rates in Team settings to get real margin numbers instead of inflated ones.
