Sending and Resetting Portal Access from a Client's Profile
You control when a client gets portal access, and you can reset it at any time from their profile. This is where you set the PIN described in "How Client Portal Login Works: Client Code and PIN".
Before you start
Two things need to be in place first:
- Your firm must have a portal link set. Go to Settings > Firm Details and set your Client Portal URL (the slug after accupe.com/p/). If this is missing, sending portal access fails with "Set your portal link in Settings > Firm before sending portal access."
- The client needs an email address on file. If they do not, you will see "This client has no email on file. Add an email address first."
Sending portal access (Client Code + PIN)
- In the sidebar, go to Clients, then open the client you want to grant access to.
- On the Details tab, scroll to the Client Portal Access section.
- On the left, "Portal Access details" shows the client's current status: a green "Account Active" badge if they already have a portal login, or an amber "Pending Registration" badge if they do not. Their Client Code is shown underneath in a copyable chip.
- Below that, find the "Send portal access" panel.
- Either type a PIN of 4 to 10 digits into the field, or select Generate to have Accupe create a random 6-digit PIN for you.
- Select "Send portal access." The button shows "Sending..." while it processes.
Once it succeeds, you'll see either "Portal login created" (first time) or "PIN reset" (if the client already had access), plus "& emailed" if the email went out. The PIN itself is shown once, in a copyable chip. It cannot be shown again afterwards, so copy it immediately if you need to share it another way. If the email could not be sent, you will see "Email not sent. Share this PIN securely with your client." instead, and you should pass it on directly.
A small line under the panel, "Portal access last set [date]," persists after you leave and return to the page, so you can always see when access was last issued.
What the client receives
If the email sends successfully, the client gets a branded message with their Client Code, their temporary PIN, and a button linking straight to your portal login page. They sign in with those two values and are prompted to choose their own PIN once inside.
Resetting a PIN
Follow the same steps as above. Whenever you send a new PIN through "Send portal access," it replaces the old one immediately, whether the client already has an account or not. There is no separate "reset" button; sending access again is the reset.
Account Active vs Pending Registration
The older "Send Email Invite" option
Next to "Portal Access details" you will also see a "Send Email Invite" box with its own email field and a "Send Invitation" button. This sends a link to a general signup page where the client chooses their own password rather than receiving a PIN. It is a separate, older flow, and its login afterwards is the general sign-in page, not your branded portal link. Unless you have a specific reason to use it, "Send portal access" is the recommended way to onboard clients.
Tip: Sending portal access is rate-limited to 30 sends per hour per user, so if you're provisioning a large batch of clients in one sitting, spread the batch out rather than firing them all in the same hour.
